Job description

  • • Prepares and distributes memos, reports, forms, travel/business expense forms, check requests, and business graphics;
  • • Establishes and maintains individual and department filing systems, records, and logs;
  • • Schedules and coordinates business meetings, including onsite/offsite conference room reservations, scheduling conference calls, initiating NetMeetings/WebEx, ordering meals, set-up of rooms, etc;
  • • Coordinates business travel;
  • • Establishes administrative processes and procedures;
  • • Assists with distribution of reports, presentations, communications, etc. with customers, suppliers, and internal contacts;
  • • Edits documents for correct grammar, punctuations, spelling, contest, and format;
  • • Distributes incoming and outgoing mail;
  • • Ensures team has the tools (office supplies, equipment, files) necessary to perform job tasks;
  • • Maintains calendar for manager/department;
  • • Directs telephone calls and electronic mail;
  • • Adheres to safe work practices and contributes to the evolution of the health, safety, and environmental program and culture;
  • • Regular, predictable attendance is required;

Job requirements

  • • Ability to proficiently operate necessary office equipment and business software, including but not limited to the Microsoft Office Suite. Must have a high level of proficiency with PowerPoint and Excel. Capable of building content for presentations with minimal direction. – Expert
  • • Organizational, verbal and written communication, and interpersonal skills with individuals at all levels within the organization. – Expert
