Job Description
The India Payroll Associate supports the payroll department in processing and maintaining accurate payroll records for employees across the organization. This role involves assisting in payroll calculations, addressing employee queries, and ensuring compliance with statutory regulations. The Payroll Associate plays a key role in ensuring smooth, accurate, and timely payroll processing under the supervision of the Payroll Manager.
Key Responsibilities:
1. Payroll Processing Support:
o Assist in processing the monthly payroll for all employees, including entering and updating employee data, salary adjustments, and deductions.
o Ensure accurate calculation of employee salaries, wages, overtime, and other pay components in line with company policies.
2. Compliance with Statutory Requirements:
o Assist in ensuring payroll complies with statutory obligations, including Provident Fund (PF), Employee State Insurance (ESI), Professional Tax (PT), Income Tax (TDS), and Labor Welfare Fund (LWF).
o Help in the preparation and submission of necessary payroll-related filings and documentation to government authorities within deadlines.
3. Employee Records Maintenance:
o Maintain accurate payroll records and employee files, including new hires, terminations, leave balances, and salary changes.
o Assist in processing employee benefits, such as leave encashment, medical reimbursements, and other entitlements.
4. Employee Queries and Support:
o Address payroll-related queries from employees, such as salary discrepancies, tax deductions, or payslip concerns.
o Provide timely and clear responses to employees regarding their payroll and benefit queries.
5. Data Entry and System Updates:
o Accurately input payroll data into the payroll system, ensuring all changes (e.g., promotions, transfers, terminations) are updated promptly.
o Assist with updating payroll-related data in software systems (e.g., SAP, ADP, or other payroll software).
6. Audit and Reporting:
o Assist in conducting payroll audits to ensure accuracy in calculations and compliance with internal and external regulations.
o Generate payroll reports as needed, such as attendance reports, variance reports, or salary summaries, and share them with the Payroll Manager or senior management.
7. Assistance with Statutory Payments:
o Support the Payroll Manager in calculating and preparing payments for statutory dues like PF, ESI, TDS, and other payroll deductions.
o Help in verifying and processing salary disbursements and other related payments on time.
8. Process Improvement:
o Assist the Payroll Manager in identifying opportunities to streamline payroll processes, improve efficiency, and reduce errors.
o Participate in implementing improvements or changes to payroll systems or processes as needed.
Complementary Description
Experience in payroll management at MNCs / Payroll Shared Services is a mandatory requirement
Job Requirements
Bachelor's degree in Human Resource / Finance / MBA or CA (inter) or equivalent
