1) Occupational Summary:
Performs general administrative duties as required to support the Airframers including accounts payable, rebilling of Safran Seats USA companies, time-cards, parts admin back-up, mail distribution, and ordering office supplies. This position works under general supervision.
2) Duties and Responsibilities (essential functions):
A) Responsible for the accurate and timely release of Safran Seats USA BU's rebilling of labor hours and costs.
B) Responsible for the validation of all invoiced contractor hours.
C) Responsible for monthly reconciliation of the petty cash fund.
D) Responsible to ensure all time-cards/hours are submitted to accounting to ensure accurate re-billing hours are kept.
E) Maintains detailed records for each SSUSA field service technician to ensure they are assigned to a Safran company.
F) Manages part orders between Safran Seats USA BUs and Boeing production.
G) Administers purchase requisitions for office supplies, equipment, etc.
H) Assists with calendar management and coordination of meetings and conferences in the facility for the support group including the arrangements for all amenities to support workshops, and meetings and catering services.
I) Responsible for ensuring continuous inventory control of the cage/stockroom.
J) Responsible for ensuring correct paperwork for all stock parts is available.
K) Manages databases as required to support workload forecasting and man-power loading requirements.
L) Responsible for data collection and input for reports and planning.
M) Responsible for the creation and emission of standard reports.
N) Responsible for coordinating and managing IT related issues with IT department.
O) Performs other duties as assigned.

3) Qualification Requirements:
A) Knowledge and Skills:
i) Proficient with computer applications and web applications including E-mail correspondence.
ii) Prefer solid general understanding of computer hardware and software (IT understanding).
iii) Ability to work independently with a high level of confidentiality, professional standards and ethics.
iv) Demonstrated strong organizational skills in an office environment with in depth familiarity to company rules and office procedures.
v) Strong attention to detail with the ability to manage working under pressure with deadlines and juggle multiple tasks at the same time.
vi) Strong communication skills with the ability to work under pressure, set priorities and handle confidential and sensitive company matters.
vii) Proficient knowledge and ability to produce documents using a laptop, Microsoft Office Programs (Word, Excel, PowerPoint) with excellent typing, communication, listening skills with a strong technical aptitude.
B) Education and Experience:
i) High school diploma or equivalent is required.
ii) 5+ year's previous administrative, billing or accounting experience.
iii) Experience working with inventory is preferred.

D) Communication Skills:
Must have the ability to generate written communication and to operate required office equipment. Ability to read and review written communication. Speech and hearing abilities that allow individual to communicate clearly and distinctly in English.
E) Reasoning Ability:
Ability to solve problems and think strategically.
4) Physical Demands:
This position requires extended periods of sitting while working with computers and viewing computer monitors and other office equipment. Finger dexterity needed in using misc. office equipment such as telephone, computer and copy machine, etc. Bending, stooping, reaching, and lifting up to approximately twenty pounds are required during tasks related to the job.
